User Administration - Roles and Access Authorization

Step 1:

In TextGrid there are different roles for users, with which access authorization to the projects and objects is controlled.You can administer the roles in the TextGrid user administration under "User Management".

Step 2:

You must be registered as a "Projektleiter" (Project Manager) in order to assign roles for a particular project (there is no limit to the number of Project Managers assigned to each project). When you create a new project, you are automatically the Project Manager. You can add or delete additional Project Managers, and you can also remove yourself as Project Manager, but a project must have at least one user who is registered as a Project Manager.

Step 3:

In order to see objects that are located in a project, you must have reading access to the project and you must be registered as a "Beobachter" (Observer) or "Bearbeiter" (Editor); it is not enough to be registered as a Project Manager. When you create a project, therefore, you will be simultaneously registered as an Editor. As an Editor, in contrast to Observer, you can also make modifications to the files in the project.

Step 4:

To delete an object, you must be assigned the role of Administrator; this safety measure is intended to prevent the accidental deletion of data. As a Project Manager, you can assign this role to yourself by clicking on your name in the user field, selecting the role of administrator in the drop-down box, and clicking on the button "Give User(s) a Role."

Step 5:

In order to give other users access to one of your projects, as the Project Manager you must enter their usernames in the entry form, select the appropriate role for them, and click on the "Add" button.

Step 6:

As the Project Manager, you can also remove roles from one or more users by selecting the appropriate role and clicking on the button "Delete role(s) from User(s)". If you would like to delete multiple roles at once, you must hold down the "Control" button while clicking on your selections.

Step 7:

In order to remove a user from the list, you must merely delete all of roles assigned to that user. If there are no roles assigned, a user is automatically removed from the list.
